Void or Change a Direct Deposit Payment

A Direct Deposit payment batch can be voided if the bank has not yet processed it. Complete the following steps if a mistake was made on employee timecards and the direct deposit has already been uploaded to the bank’s website.

  1. See if the deposit can be voided on the bank side. If the deposit is dated for the following day or further in the future, the user may be able view the deposit on the bank website or call the bank directly for information on whether they can void the batch.

  2. If they can void it on the bank side, use the following steps in EBMS.

    • Go to Expenses > Bank Accounts. (Opening this page will prompt the user to post transactions to the General Ledger.)

    • Highlight the correct checking account for payroll and click on the Reconcile button.

    • From the Account Reconciliation page, highlight the direct deposit transaction and select the Void button at the bottom of the screen.

    • Click Next.

    • Enter the correct Process Date and click Finish.

This will put all the timecards for that direct deposit back in the Worker Payments window. Any changes can now be made to the timecard as needed.

Complete the following steps if only one of the timecards is rejected by the bank:

  1. Void the entire direct deposit transaction in the Expenses > Bank Accounts > Reconcile window. Go to Labor > Worker Payments and process the correct timecards, but do not send that file to the bank.

  2. Make the necessary changes on the rejected timecard and process as normal by uploading the changed file to the bank.

If the deposit has been processed on the bank side, you will need to make your corrections either next pay period, or issue a bonus pay period check to process the changes for the current pay period. If you have questions on this, please contact Koble Systems Technical Support.
