EBMS Task Schedule View
Task Schedule
The Task Schedule is a calendar interface for viewing and managing tasks and work orders. Tasks appear as tiles on a day, week, or month calendar, and can be scheduled, rescheduled, resized, and removed directly from the calendar without opening each task. Unscheduled work is held in a separate list that can be dragged onto the calendar.
This view is intended for anyone responsible for assigning and adjusting work: service managers, dispatchers, and schedulers who need to see workload across a day or week and fill open time.
Getting Started
The Task Schedule requires the following:
- EBMS 9.0.111 or later.
- The Tasks & Work Orders module in use.
No additional installation or configuration is required. The view is available automatically once the system is updated.
Opening the Task Schedule
-
Select Labor > Task Schedule from the main EBMS menu.
(A home screen menu option will be added shortly after release. Update this section when it ships.)
Switching Calendar Views
The calendar offers Day, Week, and Month views. Each view changes both how much of the schedule is visible and how precisely tasks can be placed.
- Use Month view for broad planning and for moving work between days.
- Use Week and Day views to set and adjust specific times.
How Tasks Appear on the Calendar
Tasks are displayed differently depending on whether they are scheduled for a specific time:
- Tasks scheduled for a specific time appear as a tile with a bullet on the month view and cover the time block on the day and week view
- All-day tasks appear with a bar background and are always at the top of that day.
All-day tasks are used when the date is known but the time is left to the worker — deliveries, pickups, or a day's collection of field work. Schedule a task as all-day by placing it in Month view, or in the all-day strip at the top of Week and Day views.
Note that when a task is scheduled as all-day, EBMS populates only the date field. The time and duration fields are left blank.
Scheduling a Task from the Unscheduled List
Unscheduled tasks — those without schedule dates — appear in a tiled list beside the calendar. Drag a tile from this list onto the calendar to set its date and time.
The unscheduled list has its own filters, reached from the filter button. Select the field to filter by and the matching condition. The list can also be minimized when it is not needed.
Adjusting a Scheduled Task
Tasks already on the calendar can be changed in place:
- To change the date or time, drag the tile to a new position on the calendar. The task's duration is preserved, and the Start and End date and time fields are updated to reflect the new position.
- To change the duration, grab the top or bottom edge of the tile and drag it to the new start or end time.
Note that in Month view a task keeps its original time of day when moved to a different date. Only the date changes.
Removing a Task from the Schedule
Right-click a task tile and select Remove from schedule. The task returns to the unscheduled list with its schedule dates cleared. The task itself is not deleted.
This works in Month view, Week view, and Day view.
Opening a Task
Double-click a task tile to open the task document, where details can be viewed, notes added, and the record edited as usual. Review the Create a Task section for details on task fields.
Filtering Tasks on the Calendar
Calendar filters limit which tasks are drawn on the calendar itself. Filter by:
- Task type — for example repairs, installs, or service
- Customer
- Worker
- Status — completed or not completed
Filters are useful when checking a worker's availability before committing new work, or when reviewing a single customer's jobs.
Note that an active filter hides tasks from the calendar. If expected work does not appear, check whether a filter is applied.
Color Coding Tasks
A calendar of undifferentiated tiles becomes difficult to read quickly, particularly for companies scheduling multiple workers open to close. Tasks can be color-coded by a single property so that instances are visually distinct.
The available properties are:
- Type — the task type.
- Customer — only differentiates tasks that have a customer assigned. Useful for seeing workload concentration by customer and avoiding double-booking.
- Worker — useful when assigning across a crew, and for spotting open slots.
- Completed — useful for reading the status of work in progress against work finished.
Navigating Dates
The month panel beside the calendar moves between months in the year. Clicking a date jumps to the matching time frame for the current view: in Day view it jumps to that day, and in Week view it jumps to the week containing that date.
Click Today to return to the current date. This works from Month, Week, or Day view.

FAQ
- Why should I use this new feature?
- If you want to schedule tasks in a visual way this is the feature for you. We bring the familiar look and feel of a calendar with different levels of focus including a day, week, and month view allowing you to see what has been scheduled, move tasks around, change the tasks, and add or remove them from the calendar.
- Am I losing any features? If so, which ones?
- This is completely new and for those who appreciated the classic schedule view you for tasks you are welcome to continue using that, but please let us know what that view provides that is critical to your business.
- Why adopt Schedule View short list
- Simple drag and drop onto day, week, or month calendar views
- Ability to change dates and time by dragging and dropping the task on the calendar
- Seeing visually what work is scheduled and for whom each day, week, or month
- Who is getting this?
- This comes with the newest releases of EBMS 9.0.11
- This feature requires the power of EBMS 9.0s Postgres database to create the responsive and real time experience one expects from a calendar or scheduling interface.
- What might frustrate customers (internal)
- Much like any calendar or schedule application the boundaries of the time space can bring frustrations when the scheduled item crosses those boundaries. This could feel clunky but will resemble most modern calendar applications so could go unnoticed.
- This task doesn’t attempt to create a modal or screen for the task document itself.
- It could be possible to have too much information on the page and feel overwhelmed. It will be important for users to use filters to ensure that they are only seeing what is most important to them.
- What are requirements to access Schedule View?
- This feature is for EBMS tasks so that will be a required module and tool that is being used.
- EBMS 9.0
- What build includes Schedule View
- What if I don't have access to the internet?
- No this feature while using code and technology common to web development this all lives in EBMS and uses the EBMS server.
- What if I don't have a browser on my computer?
- That isn’t a problem this feature currently is only accessible through EBMS where we have the required screens and controls setup and installed as part of EBMS for you to view and use this feature.
- What will I loose by not implementing Schedule View?
- What you loose is a tool that brings the simplicity of any calendar tool you use everyday into EBMS. In this case we are releasing it to work with Tasks, but that is just the beginning.
