Promotional Prices based on Date

A promotional price can be set within EBMS by entering the special price or discount and a date range. This feature is used extensively when a product or a group of products are sold for a limited time based on a special promotional price.

Complete the following steps to create a new special price.

  1. Go to Inventory > Product Catalog and double-click on a product to open the product record. Click on the product record Pricing tab as shown below:

  2. Click on the Special Pricing button on the top of the Pricing tab to open the special pricing dialog. Note: If the optional Special Pricing module is not installed on the system, this button will not appear.

  3. This dialog lists all the special pricing layers that affect the open product record. Click on the New button on the right-hand side of the Special Pricing dialog to create a new promotion as show below:

  4. On the Special Pricing Properties tab, enter a Description of the promotion.

  5. Select a price level from the Applies to price level options or select the [All] option to apply to all price levels. In the example above, the promotional price will only apply to the Wholesale price level.

  6. Set the Applies to unit of measure setting by selecting an option from the drop-down menu or select [All] to apply special pricing to all unit of measure settings. Review the Tracking Counts > Unit of Measure for more details on unit of measure (UOM).

  7. Set the promotional Dates of the special price. Select a template from the drop-down menu and set the appropriate promotional date settings. These are the options:

    1. From _/_/_ for _ days
    2. Between the _th and the _th of each month
    3. Always

    Select the From _/_/_ for _ days template and enter the beginning date and the length of the promotion period in days to establish a date range. For example, enter From 09/01/25 for 90 days to start the promotion period on September 1st, 2025 and end the sale 90 days later. Additional date templates can be added to EBMS. Contact your Koble Systems account manager to ask about adding user-specific options.

  8. Ignore the Minimums options unless the promotion is made valid only when a minimum number of items are purchased. Review the Volume Discounts and Bracketed Pricing for more details on bracketed pricing and minimums.

  9. Set the appropriate Price calculation of main unit of measure options: Set the Calculate From field to select a price level and the Formula to calculate special pricing based on the selected price level. (The example above discounts the retail price level by 10%, because Retail is selected in the Calculate From field and Reduce 10% is selected in the Formula field.) Use the Is $_____ template If the promotional price is a specific price. Note that the Calculate From option is not applicable if the Is $______ option is used, because the price is set rather than calculated from a price level. The following example uses a fixed promotional price, because the Formula is set to Is $22.

  10. The settings within the Inventory Query tab of the Special Pricing properties window cannot be changed if a special pricing record is created from the product record Pricing tab. Review the Special Pricing for Customers section for more details on the Inventory Query tab.

  11. Click on the Customer Query tab of the Special Pricing properties window to limit the promotional price to a specific group of customers (using the Folder selection) or to a specific customer (Using the Customer selection).

    The Folder option will default to the root folder. Select a subfolder from the drop-down list to limit the promotion to only a specific group of customers. The promotion will apply to all customers in the selected Folder and any subfolders within it. Review the Adding and Deleting Customer Categories section of the sales documentation for details on creating customer category folders.

    Select the Customer option to limit the promotion to a specific customer. Review the Special Pricing for Customers section for more details on limiting the special pricing to specific customers.

    Leave all fields blank on the Customer Query tab if the promotion should apply to all customers.
  12. Click on the OK button to save the promotional price. Note that an asterisk will show up on the Special Pricing button to indicate special pricing records already exist.
