How to use Scheduled Events to automate routine processes in EBMS
Timed Events
The Timed Events tool within EBMS will schedule and automate recurring processes such as sending documents via email, downloading vendor files, creating recurring invoices, or downloading data for data importing with the Text Import/Export Mapping utility.
Complete the following steps to configure a scheduled recurring process:
- Open File > System Options > Timed Events tab.
- Click New to create a new Timed Event or click Properties to change an existing event.
- From Timed Event Properties, select a timed event Type from the following options:
- Auto Send – Run batch mode: Select the appropriate Auto Send Mode from the list within the Auto Send tab.
- Sample Event for Training: Use this option to test the service.
- Auto Send – Run batch mode: Select the appropriate Auto Send Mode from the list within the Auto Send tab.
- From Timed Event Properties, enter the event’s Schedule settings:
- Enter the timed event’s Description.
- Enter the event’s Start Date and optional Start Time.
- Set the optional setting to Stop event if it runs longer than ___ hours.
- Set the desired Frequency. (Options include Manual, Daily, Weekly, Monthly, Every _ day(s), Every weekday.)
- Set the optional Email Notification settings to alert the necessary staff when Auto Send is not successful or create a log if the send is successful.
- Remove any automated events in the Task Scheduler App if this MS Windows app was previously used to Auto Send documents. Review Automate using Task Scheduler App for information on the MS Windows app.
- Repeat this setup for any other Auto Send modes. Review the available modes in Auto Send Overview for a complete list of options.
The Timed Events feature replaces the legacy method of Automate using Task Scheduler App. Review the Task Scheduler documentation to schedule tasks that are not available within the Timed Events tool.
